Everything a PG or hostel owner needs, explained

For each part of running a property: the problem, how PGPro365 handles it, and what you get. Everything on this part of the page works today.

Properties, blocks, rooms and beds

The problem

Room charts on paper go out of date the day after you draw them, and a bed ends up promised to two people.

How it works

You describe your property once: hostels, blocks, rooms and beds, with a monthly rent for each bed. A resident is placed in a bed from a date. A block only accepts the genders it is meant for, and the system refuses to hold a bed or a resident twice in the same period.

What you get

  • Run one hostel or many from one account
  • See which beds are taken, free or due at a glance
  • Property profile with contacts, warden, amenities, house rules and photos

Residents, guardians and documents

The problem

Resident details live in notebooks, phone contacts and photos on someone's phone.

How it works

Each resident has a profile with their college or workplace, addresses, guardian and emergency contact. Identity and address documents are stored with the number kept encrypted and shown masked. A document is marked verified, pending or rejected, and every reveal of a number is recorded.

What you get

  • A searchable list of residents with filters
  • Documents with a clear verified or pending status
  • Staff notes, and a ledger of everything a resident has paid and owes

Rent, dues and receipts

The problem

Rent is noted in a notebook, receipts are handwritten, and nobody is sure who still owes what.

How it works

Monthly charges are made once per stay and month, so rent is never billed twice. When a resident pays, you record the payment and it is applied to their oldest dues first. Each payment gets the next receipt number in sequence. The dues list shows what is owed, resident by resident.

What you get

  • Numbered receipts, in sequence
  • A dues list you can act on
  • Money in and out reflected in your accounts

Security deposits

The problem

Deposits get lost in memory: who paid, how much, and what was returned.

How it works

A deposit is recorded when it is taken. At the end of the stay you settle it exactly once: refund it, apply it against rent that is owed, or keep it. The record shows which, and when.

What you get

  • One clear record per resident
  • Settled once, never twice
  • Kept deposits and refunds shown in your accounts

Complaints

The problem

A complaint raised on a chat group is forgotten, and the resident has to ask again.

How it works

A complaint has a category and moves from open to in progress to resolved to closed. It can be assigned to an active member of your staff, who is the only kind of person it can be assigned to.

What you get

  • Every complaint tracked to the end
  • An owner for each one
  • Open complaints counted on your dashboard

Notices

The problem

Important messages get lost in chat groups, and not everyone sees them.

How it works

You write a notice and choose who it is for: everyone, one hostel or one block. You can set it to expire, and withdraw it if it was posted by mistake.

What you get

  • The right message to the right people
  • Notices that retire themselves
  • A record of what was posted

Dashboard and compliance

The problem

You find out about empty beds, unpaid rent or an expired certificate after it has already cost you.

How it works

The dashboard shows occupancy today and over time, rent billed against collected for the last months, complaints by status, who is checking in and out, and a list of certificates that have expired or expire within 30 days, soonest first. A company with several hostels sees them all together or one at a time.

What you get

  • What needs you today, first
  • Certificates renewed on time
  • One view across all your hostels

Roles, audit trail and privacy

The problem

When several people use the system, you need to know who did what, and keep each person to their own job.

How it works

You give each person a role with only the permissions they need. Every create, change and delete is recorded in an audit trail, and sensitive details such as document numbers are kept out of it. Each company's data is kept separate from every other company's. Staff can sign in with multi-factor authentication.

What you get

  • The warden, accountant and manager each see only their part
  • A trail of who changed what, and when
  • Your residents' data kept private
